Privacy Policy

This policy describes the privacy practices of Shortlist Services ("Shortlist Services," "we," "us," or "our"), operating in Ontario, Canada. It's written in plain language, but it's still the legal document governing how we handle your information, so please read it.

1. Who this applies to

This policy covers everyone who interacts with Shortlist Services: homeowners who scan a QR code or visit a landing page from one of our mailers, anyone who calls one of our tracking phone numbers, anyone who submits an inquiry form, and the contractors who advertise through our campaigns.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Inquiry form details: if you submit the "Request a Quote" form on a contractor's landing page, we collect your name, phone number, address, and any message you provide.
  • Call information: each contractor's landing page displays a dedicated tracking phone number. If you call it, the call is forwarded to that contractor's real phone number. Our call-tracking provider may log call metadata (e.g. the number that called, call duration, and time) to measure campaign performance, and may record calls for quality or analytics purposes. Where a call is recorded, you will be notified before the recording begins.
  • QR scan activity: when a QR code on a mailer is scanned, we log that a scan occurred, along with the browser/device user agent string and referrer our server receives with that request, so we can report campaign performance. This data is stored on our own infrastructure (Cloudflare), not shared with a third-party QR platform.
  • Website usage information: we use Cloudflare Web Analytics to understand aggregate site traffic (e.g. which pages are visited). It does not use cookies and does not track individual visitors across sites.
  • Contractor information: for contractors who advertise with us, we collect business contact information (business name, category, phone number) that is displayed publicly on mailers and landing pages as part of the advertising service itself.

3. How we use your information

  • To connect you with the specific contractor you contacted or called.
  • To measure and report campaign performance (scans, calls, and leads) to the contractors participating in that campaign.
  • To operate, maintain, and improve this website.
  • To respond if you contact us directly.
  • To meet legal, regulatory, or security obligations.

We do not sell your personal information, and we do not use inquiry-form submissions to build our own marketing list. Your information is shared only with the contractor you contacted, not with other contractors or third parties for their own marketing.

4. Who we share information with

  • The contractor you contacted: inquiry details and call/scan activity tied to their campaign are shared with that contractor so they can follow up with you.
  • Service providers: we use Cloudflare for hosting, website analytics, and QR scan tracking, and a separate third-party provider for call tracking. These providers only receive the information needed to perform their service and are not permitted to use it for their own purposes.
  • Legal requirements: we may disclose information if required by law, court order, or to protect the rights, property, or safety of Shortlist Services or others.

5. Cookies and tracking technologies

This site does not use tracking or advertising cookies. Our website analytics (Cloudflare Web Analytics) is cookieless by design: it measures aggregate traffic without setting cookies or building a profile of individual visitors.

6. How long we keep information

We keep inquiry, call, and scan data for as long as reasonably needed to report on campaign performance and support the contractor relationship, and no longer than necessary for that purpose, unless we're required to keep it longer by law.

7. Your privacy rights

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to ask what personal information we hold about you, to request corrections, and to withdraw consent for its use (subject to legal or contractual restrictions). If you're located in Quebec, British Columbia, or Alberta, additional or different rights may apply to you under your province's private-sector privacy legislation.

8. How we protect your information

We use reasonable administrative and technical safeguards to protect the information we hold, including relying on established, security-conscious infrastructure providers. No method of transmission or storage is 100% secure, and we can't guarantee absolute security.

9. Children's privacy

Our services are directed at adults arranging home services and are not intended for children. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time. We'll update the effective date above when we do. Continued use of the site after changes means you accept the updated policy.
